Tracking employee vehicles: what you need to know

Employees must be told in advance when a work vehicle is tracked. Here is how to do it properly.

GPS tracking of a vehicle driven by an employee processes personal data (their location). As the employer, you are responsible for making that processing lawful and transparent.

What we recommend

  • Inform every employee in writing before tracking starts: what is tracked, why, who sees the data and how long it is kept.
  • Track for work purposes only, e.g. vehicle security, route planning, fuel control.
  • Do not track outside working hours if the vehicle is also used privately. Use working hours in your alert rules.
  • Limit access: only the people who need to see the map and history.
  • Keep data only as long as needed and no longer.
