How to use it: this is a template your company completes and gives to drivers or employees before tracking starts. Replace the text in square brackets, keep a signed copy and update it when the rules change. For employees in Albania, use the Albanian version.

Notice about GPS tracking of company vehicles

1. What we track

Company vehicles [plate numbers or “all fleet vehicles”] have a GPS device installed. The device records location, time, speed, engine on and off and, depending on the model, fuel and other vehicle data.

2. Why we do it

Legal basis: the company's legitimate interest in managing its fleet and [contractual / legal obligation, if applicable].

3. When we track

[During working hours / whenever the vehicle is in use]. Private use of the vehicle [is not allowed / is allowed under the internal rules; during private use tracking is or is not done as follows: …].

4. Who sees the data

Only authorised people: [for example the fleet manager, the administrator]. The platform is provided by AppAlbania (AppAlbania GPS), which processes the data only on our behalf.

5. How long we keep it

Movement history is kept for [number] days/months and then deleted automatically. Reports related to an incident may be kept longer, for as long as needed for that incident.

6. Your rights

You have the right to request access to data about you, to have it corrected and to object to processing, under Albanian personal data protection legislation. Send requests to [contact person]. You also have the right to complain to the Commissioner for the Right to Information and Personal Data Protection.
